What sworn translation of invoices is

A sworn translation of an invoice is the official translation of a commercial document —with the signature and seal of a sworn translator accredited by the MAEC— that faithfully keeps the amounts, taxes, currencies, line items and tax details of the original. It is requested when the invoice must take effect before an official third party: the Spanish Tax Agency to justify or deduct VAT, customs in import and export operations, an audit, court proceedings or a claim. When the invoice is only to record, understand or file internally, a simple translation is enough. In both cases, what matters is that not a single amount or line item deviates from the original.

Customs, import and export

Commercial invoices for customs clearance and import/export operations, with the exact line items and values customs requires.

VAT and the Tax Agency

Invoices from foreign suppliers or clients to justify or deduct VAT, including intra-EU operations.

Accounting and audit

Invoices that form part of the accounts or that the auditor needs to review, with clear line items and tax bases.

Claims and litigation

Unpaid or disputed invoices that must be submitted as evidence in a claim or court proceedings.

Simple or sworn

Does your invoice need a sworn translation?

Many invoices only need a simple translation to record or understand them. But when something has to be justified before the tax authorities, customs or a court, a sworn translation is required. We help you determine what you need before anything is commissioned.

Internal or accounting use

Simple translation

Invoices you need to understand, record or file, without having to justify them before an official third party. Precision in amounts and line items comes first, without a seal.

  • Recording supplier invoices in the accounts
  • Internal control and payment reconciliation
  • Review of terms and line items
  • Filing and consulting documentation
With official validity

Sworn translation

When the invoice must take effect before a public authority, customs or a court. It bears the signature and seal of a translator accredited by the MAEC.

  • Justifying or deducting VAT before the tax authorities
  • Customs clearance for import and export
  • Invoices as evidence in claims or litigation
  • Audits and official requests

What the price depends on

There is no single rate. For invoices, the price mostly depends on the number of invoices and their length. These are the four factors; that’s why it’s best for us to see the documents before giving you a firm figure.

The languageThe language combination and the availability of sworn translators for that pair.
The number of invoicesHow many invoices and their actual length; a repetitive batch is quicker.
ComplexityDensity of lines, technical line items, taxes and handwritten notes or seals.
UrgencyIf you have a tight deadline, we check feasibility and prioritise where possible.

Send us these four details and we’ll reply with a price, a feasible turnaround and a recommended delivery format.

When the invoice needs to be sworn

Official validity, when it’s needed

Many invoice translations are simple, to record or understand them. But when the invoice must take effect before the Spanish Tax Agency, customs or a court —VAT deduction, customs clearance, evidence in litigation— a sworn translation may be required, signed and sealed by an officially accredited sworn translator-interpreter. You can check accreditation by language in the official search tool of the Spanish Ministry of Foreign Affairs.

The general framework is governed, among other rules, by Royal Decree 724/2020 (BOE), which regulates the Language Interpreting Office and the role of the sworn translator. If your procedure is international, an apostille or legalisation may also be required depending on the country.

At Trayma we review the destination country and body with you before issuing the final version, to recommend the safest delivery format and avoid follow-up requests.

Frequently asked questions

Frequently asked questions about sworn translation of invoices

When do I need a sworn translation of an invoice?
When the invoice must take effect before an official third party: the Spanish Tax Agency to justify or deduct VAT, customs in import and export, an audit or court proceedings. If the invoice is only to record or understand it internally, a simple translation is enough. Tell us the use and we confirm what you need.
Can you translate a batch of many invoices?
Yes. It’s very common to translate batches of invoices from the same supplier or period. When the invoices share format and line items, the process is quicker and the price per invoice goes down. We handle it as a single project, with consistent terminology across all of them.
How much does it cost to translate an invoice?
It depends on the language, the number of invoices and their length, the complexity (lines, technical line items, taxes) and the urgency. A short, standard invoice is quick; a large batch is quoted as a whole. For a firm figure we need to see the documents.
Do you keep the amounts, taxes and currencies exactly?
Yes, it’s the most important thing in an invoice. We keep the amounts, tax bases, VAT rates, totals and currencies without any deviation, and we translate the line items precisely. In the final review we check that every figure and every line matches the original.
Is a translated invoice valid for deducting VAT or for customs?
The translation helps the authorities or customs to check the content of the invoice; when they require the translation to be official, we deliver it sworn. The specific requirements are set by each body, so we recommend confirming with your adviser or with the authorities themselves what format they accept. Trayma does not provide tax advice.
Do you guarantee the confidentiality of commercial information?
Yes. We sign an NDA when the project requires it, use secure channels and limit access to the assigned team. The prices, clients and terms shown on your invoices are protected throughout the process.
