What translation of payslips and collective agreements is

A sworn translation of a payslip is the official translation of your salary slip —with the signature and seal of a sworn translator accredited by the MAEC— that faithfully keeps the amounts, pay items, withholdings and social security contributions. It is mainly requested to prove income: immigration and visa procedures, residence or “arraigo” (residency by roots) applications, and dealings with banks or institutions abroad. The translation of a collective agreement, by contrast, is a company document: it is translated by companies with an international workforce, for human resources management, the posting of workers or an employment due diligence. In both cases we deliver a sworn version when it must have official validity, or a simple one when it is for internal or informational use.

Simple or sworn

Does your payslip or agreement need a sworn translation?

It depends on the use. What you submit to a public authority, a consulate or a bank usually requires a sworn translation; what’s for HR or to understand a document only needs a simple one. We help you determine what you need before anything is commissioned.

With official validity

Sworn translation

What the price depends on

There is no single rate. For payslips, the price mostly depends on the number of slips; for collective agreements, on their length. These are the four factors; that’s why it’s best for us to see the documents before giving you a firm figure.

The languageThe language combination and the availability of sworn translators for that pair.
The volumeThe number of payslips or the length of the agreement; a batch of identical payslips is quicker.
ComplexityDensity of pay items, tables, professional categories and annexes.
UrgencyIf you have a tight deadline, we check feasibility and prioritise where possible.

When the document needs to be sworn

Official validity, when it’s needed

To prove income in an immigration procedure, before a consulate, a bank or a court, payslips and certificates are usually required as a sworn translation, signed and sealed by an officially accredited sworn translator-interpreter. Agreements for internal HR use are usually fine as a simple translation. You can check accreditation by language in the official search tool of the Spanish Ministry of Foreign Affairs.

The general framework is governed, among other rules, by Royal Decree 724/2020 (BOE), which regulates the Language Interpreting Office and the role of the sworn translator. If your procedure is international, an apostille or legalisation may also be required depending on the country.

At Trayma we review the destination country and body with you before issuing the final version, to recommend the safest delivery format and avoid follow-up requests.

Frequently asked questions

Frequently asked questions about translating payslips and collective agreements

What is a sworn translation of a payslip requested for?
Mainly to prove income: in immigration and visa procedures, residence or arraigo applications, permit renewals, and before banks or institutions abroad (for example, when applying for a mortgage). When a body requires the translation to be official, we deliver it sworn, with the MAEC signature and seal.
How many payslips are usually required in immigration procedures?
It depends on the procedure and the body: it’s common to ask for several payslips from the last few months, sometimes together with the employment contract or the work-history report. The exact requirements are set by each procedure, so we recommend confirming with your adviser or the body how many documents you need before commissioning the translation.
Can you translate a batch of several payslips at once?
Yes, it’s the most common case. When the payslips share format and line items, the process is quicker and the price per document goes down. We handle it as a single project, with consistent terminology across all of them and a combined delivery.
Does the translation of a collective agreement have to be sworn?
Not always. If the agreement is for internal HR use, to inform the workforce or to manage a posting of workers, a simple translation is usually enough. If it must be submitted to a public authority or in proceedings, a sworn translation is required. We confirm what you need depending on the use.
Do you keep the exact amounts and pay items?
Yes. We keep the amounts, withholdings, contribution bases and rates without any deviation, and we translate the pay items and professional categories precisely. In the final review we check that every detail matches the original.
Do you guarantee the confidentiality of salary data?
Yes. Payslip data is especially sensitive. We sign an NDA when the project requires it, use secure channels and limit access to the assigned team, so your salary information is protected throughout the process.
