What a certified translation is

A certified translation is an official translation that attests to being faithful and complete with respect to the original document, so that the receiving body accepts it with full validity. In Spain, that certification is carried out by a sworn translator-interpreter accredited by the Ministry of Foreign Affairs (MAEC): their signature and seal are what “certify” the translation. That is why, in Spain, certified, official and sworn translation are the same thing. Some international procedures may also require the Hague apostille or the legalisation of the source document: we confirm exactly what your case needs before we start.

Certified or simple translation?

When you need a certified translation

The rule is simple: if a body has to accept the document as official, you need a certified (sworn) translation. If it’s only to understand it or use it internally, a simple one is enough. And some international procedures also require an apostille on the original.

Accepted by an official body

Certified translation

The one bearing the signature and seal of a sworn translator accredited by the MAEC. It is the official translation required by public authorities, universities, notaries, courts and consulates.

  • Criminal record and municipal registration certificates
  • Degrees and academic transcripts for recognition
  • Birth, marriage and death certificates
  • Immigration, visa and residence documents
For information or internal use

Simple translation

Same fidelity and professional review, without official certification. Fine when no one is going to require the translation to be sworn.

  • Documents to understand or work with internally
  • Informational or reference material
  • Communications and correspondence
  • Drafts and working versions

And the apostille? The Hague apostille is not added by the translator: it authenticates the original document before the authorities of the country where it was issued. If your procedure requires it, we tell you when to apostille and in what order, so the certification is not invalidated.

What the price depends on

There is no single rate: every certified document is different. The price is calculated from these four factors, which is why we need to see the document before giving you a firm figure.

The languageThe language combination and the availability of accredited sworn translators for that pair.
The actual volumeThe document’s effective length, not its apparent page count.
Formal complexitySeals, marginal notes, certifications, tables and annexes that must be reproduced.
UrgencyIf you have a tight deadline, we check feasibility and prioritise where possible.

For a firm quote

Send us these four details and we’ll reply with a price, a feasible turnaround and a recommended delivery format.

  • Source and target language
  • Country and body where it will be submitted

Official certification, apostille and regulations

A verifiable certification

In Spain, certified translations are issued by officially accredited sworn translator-interpreters: their signature and seal are what give it validity. You can check accreditation by language in the official search tool of the Spanish Ministry of Foreign Affairs.

The general framework is governed, among other rules, by Royal Decree 724/2020 (BOE), which regulates the Language Interpreting Office and the role of the sworn translator. If your procedure is international, an apostille or legalisation may also be required depending on the country.

At Trayma we review the destination country and body with you before issuing the final version, to recommend the safest delivery format and avoid follow-up requests.

Frequently asked questions

Frequently asked questions about certified translation

What is the difference between certified, official and sworn translation?
In Spain they are the same thing. A certified or official translation is one that attests to being faithful to the original, and in Spain only a sworn translator-interpreter accredited by the MAEC can certify it, with their signature and seal. That is why “certified translation”, “official translation” and “sworn translation” all refer to the same document. Other countries may have a different arrangement (e.g. a “certified translation” by an agency), but to submit in Spain the valid one is the sworn translation.
Does my document need a certified translation or will a simple one do?
If a body has to accept it as official —a public authority, university, notary, court or consulate— you need a certified (sworn) translation. If it’s only to understand it or use it internally, a simple translation is enough. Tell us where you’ll submit it and we confirm what you need before anything is commissioned.
Does a certified translation also need an apostille?
The apostille and the translation are two different things. The Hague apostille authenticates the original document before the authorities of the country that issued it; it is not added by the translator. Some international procedures require apostilling the original before translating, so the apostille is translated too. We tell you whether your case needs it and in what order to do it.
Is a certified translation valid abroad?
A Spanish sworn translation is valid in Spain and is accepted in many international procedures, often together with the apostille on the original. Each country and body has its own requirements, so we confirm this with you depending on the destination. For procedures within Spain, the MAEC sworn translation is the standard route.
How much does a certified translation cost and how long does it take?
The price and turnaround depend on the language, the document’s actual volume, its formal complexity (seals, notes, annexes) and the urgency. For a firm figure and deadline we need to see the document and know the destination country and body. If it’s urgent, we check feasibility and prioritise where possible.
How do you deliver the certified translation?
In whatever format the body accepts: on paper with signature and seal, as a PDF with a recognised electronic signature, or both. Many bodies now accept the electronically signed digital version. We recommend the safest format for your destination to avoid it being rejected.
