What a legal document is and how it is translated

Translation of legal documents

A legal document is any document with legal effect —contracts, deeds, court judgments, bylaws, powers of attorney, annual accounts, payslips or certificates— that creates rights or obligations between the parties. Translating it calls for a translator with legal judgment: it is not enough to carry words across, you have to keep the exact legal terminology and the equivalence of concepts between different legal systems. Depending on its use, the document is translated as a sworn translation (with the signature and seal of a translator accredited by the MAEC, when it needs validity before an authority) or as a simple translation (for internal use, negotiation or information). This page brings together the main families of legal documents and takes you to the specific translation of each one.

Contracts and agreements

Commercial, employment and sale-and-purchase contracts, NDAs and terms, with terminological precision and equivalence between legal systems.

Sworn/official, or a simple translation?

Does your document need official validity?

The difference lies not in the document but in where it’s headed: the same contract or deed may need a sworn translation or a simple one may be enough. Here’s the quick rule; if you’re unsure about your case, we confirm it before anything is commissioned.

To submit it to an authority

Sworn translation

When the document is submitted to a public authority, notary, registry, court or university. It bears the signature and seal of a translator accredited by the MAEC and has legal validity.

  • Deeds and powers of attorney for a notary or registry
  • Judgments and rulings for court proceedings
  • Corporate documentation for commercial registries
  • Documents and certificates for immigration procedures
For internal use or negotiation

Simple translation

When the document is for understanding, negotiating or working internally and does not need to be submitted with an official seal. Same terminological precision, without MAEC certification.

  • Contracts under negotiation and NDAs
  • Due diligence and internal M&A documentation
  • Reports, legal opinions and legal correspondence
  • Bilingual working versions for the team

What the price depends on

There is no single rate: every legal document is different. The price is calculated from these four factors, which is why we need to see the document before giving you a firm figure.

The languageThe language combination and the availability of specialised legal translators for that pair.
The actual volumeThe document’s effective length, not its apparent page count.
Legal complexityTerminological density, statutory references and equivalence between legal systems.
UrgencyIf you have a tight deadline, we check feasibility and prioritise where possible.

For a firm quote

Send us these four details and we’ll reply with a price, a feasible turnaround and a recommended delivery format.

  • The document (PDF or legible photo)
  • Source and target language
  • Country and body where it will be submitted
  • Deadline and whether a paper copy is required

When your legal document needs to be sworn

Official validity, when it’s needed

When a legal document must take effect before a public authority, a court, a registry or a notary, a sworn translation is required, signed and sealed by an officially accredited sworn translator-interpreter. You can check accreditation by language in the official search tool of the Spanish Ministry of Foreign Affairs.

The general framework is governed, among other rules, by Royal Decree 724/2020 (BOE), which regulates the Language Interpreting Office and the role of the sworn translator. If your procedure is international, an apostille or legalisation may also be required depending on the country.

At Trayma we review the destination country and body with you before issuing the final version, to recommend the safest delivery format and avoid follow-up requests.

Frequently asked questions

Frequently asked questions about legal document translation

What counts as a legal document for translation purposes?
Any document with legal effect: contracts, deeds, powers of attorney, bylaws, court judgments, annual accounts, payslips, collective agreements, certificates or administrative rulings. Translating them means keeping the exact legal terminology and the equivalence of concepts between legal systems, not just carrying the text across. On this page we group them by area so you can find yours.
Does my legal document need a sworn translation or will a simple one do?
It depends on where it’s headed, not on the type of document. If you’re going to submit it to a public authority, notary, registry or court, a sworn translation is usually required (with the MAEC signature and seal). If it’s for negotiating, reviewing or working internally, a simple translation with the same precision is enough. Tell us what it’s for and we confirm what you need before anything is commissioned.
How much does it cost to translate a legal document?
The price depends on the language, the document’s actual volume, the legal complexity (terminological density and statutory references) and the urgency. There is no single rate because every document is different. For a firm figure we need to see the document and know whether it requires the sworn or simple option.
Can you translate several different documents from the same company?
Yes. A deal or a procedure often involves contracts, deeds, accounts, powers of attorney and certificates at once. We handle it as a single project, with an assigned manager, consistent terminology across all documents and a combined quote. We work with companies and law firms as well as individuals.
Do you guarantee the confidentiality of the documentation?
Yes. We work with absolute confidentiality and sign an NDA when the project requires it. We limit access to the assigned team and use secure channels, which matters especially for contracts, litigation and corporate transactions.
In which languages do you translate legal documents?
In more than 40 languages, with translators specialised in law. The most common are English, French, German, Italian, Portuguese, Dutch, Arabic, Russian and Chinese. When the document needs official validity, it is signed by a sworn translator accredited by the MAEC for that language combination.
